What to put on the invoice
- Who pays and who learns: the parent or company in the Bill to box, and the student’s name in the line description.
- Each lesson or package, with the date or the period, the length (60 min) and the price.
- Packages as one line, for example a 10 × 60 min package, with the number of lessons already used if you invoice afterwards.
- Materials or exam fees on their own line, so they are not mistaken for your hourly rate.
- Your cancellation rule in the notes, if you have one (for example 24 hours’ notice).
- Payment details and the due date. For packages, most tutors ask for payment before the first lesson.
Packages and cancellations
A package invoiced in advance keeps the schedule steady and saves you chasing small amounts every week. Put the package size and the period it covers in the description.
If you charge for lessons cancelled at short notice, say so in your terms before the first lesson. The invoice should only repeat a rule the family already agreed to.
Questions
Can the invoice be in the family’s language?
Yes. The screen and the document have separate languages: fill in the form in yours and pick theirs for the document.
How do I show a lesson package?
One line: “Lesson package (10 × 60 min)”, quantity 1, the package price. The quick-add buttons fill in the wording for you.
