What to put on the invoice
- The shoot: date, location and length of the session.
- Editing as its own line, by the hour or per image, so the client sees the work after the shoot.
- The usage licence: where the images may be used and for how long. Say it plainly in the description.
- Travel and expenses on their own lines, if they are not included in your fee.
- The deposit already paid: enter it as Amount already paid, so the balance due is right.
- Delivery and payment terms: the due date and how to pay; many photographers deliver full-resolution files once the balance is paid.
Deposits and licences
Taking a deposit when the client books protects the date. Invoice it as a separate document, then show it as already paid on the final invoice.
The licence is part of what the client buys. A line such as “Usage licence: website and social media, 2 years” avoids most misunderstandings later.
Questions
Can I send a quote first?
Yes. Switch to Quote at the top, send it, and when the client accepts, make the invoice from the same details.
How do I show a deposit?
Put the deposit in Amount already paid. The invoice shows the total, the amount paid and the balance due.
