What to put on the invoice
- The stay: check-in and check-out dates and the property address.
- Nights as the quantity and your nightly rate as the price.
- Cleaning fee and extra guests on their own lines.
- Local taxes: add a line for tourist or city tax if your area charges one, with the rate your council sets.
- The guest’s company details, if they are travelling for work and need the invoice for expenses.
- What has been paid: enter any deposit or prepayment as Amount already paid.
Platform bookings and direct bookings
Booking platforms usually issue their own receipts for stays booked through them. Use this invoice for direct bookings, for extras paid to you, or when a business guest asks for an invoice in their company’s name.
A security deposit you will return is not part of the price. Mention it in the notes rather than adding it to the total.
