What to put on the invoice
- The job address and date, especially if the client owns or manages more than one property.
- Labour, by the hour or as a fixed price, with a short description of the work.
- Materials on their own lines. Keep your receipts in case the client asks.
- Call-out fee and travel, if you charge them and the client knew in advance.
- Any quote reference, if the job started from a quote (use the PO number field or a custom note).
- Payment terms: many trades ask for payment on completion. Choose Due on receipt in the payment terms.
Quote first, then invoice
For anything bigger than a small repair, send a quote before you start. When the work is done, the invoice uses the same lines, so the client recognises every number.
If the job changed, add the extra work as new lines rather than raising the original price. It is easier to agree to.
Questions
Should materials be on a separate line?
Yes. It shows the client what they paid for, and in many countries materials and labour are treated differently for tax.
Can I take a part payment upfront?
Yes. Enter it in Amount already paid on the final invoice, and the balance due updates.
